About the Role
Theresa Place Media Inc. (TPM) is looking for an organized, energetic and detail-oriented Part-Time Event & Education Coordinator to join our growing team.

TPM provides association management, event management and marketing services to clients across Ontario and Canada. In this role, you'll support multiple association clients with the planning and delivery of educational programs, networking events, webinars, meetings and other member events.
This is a great opportunity for someone who loves events, enjoys working with people and is exceptionally good at keeping track of details and deadlines.

Our workplace is fun, collaborative and relaxed, but our client work moves quickly. We're looking for someone who can enjoy the environment while taking ownership of their responsibilities, staying organized and delivering professional work for our clients.

This position is in-office at our Burlington location and requires travel to client events and meetings. The role will begin at approximately 10–20 hours per week, with the potential to grow into a full-time position as TPM and our client portfolio continue to grow.

What You'll Be Doing

Events & Education

Coordinate educational sessions, seminars, webinars, networking events, annual general meetings and other association programs. Manage event details from initial planning through post-event follow-up. Maintain education and event calendars for multiple association clients. Coordinate venues, catering, audiovisual requirements, room layouts, signage and event logistics. Prepare event timelines, run-of-show documents and planning checklists. Coordinate speakers, moderators, panelists and other program participants. Collect speaker biographies, headshots, presentations and required documentation. Coordinate attendee registration and maintain accurate registration records. Prepare name badges, signage, registration materials and event supplies. Attend events to assist with setup, registration, speaker coordination, troubleshooting and event execution. Coordinate virtual education sessions and webinars, including Zoom setup and speaker support. Complete post-event follow-up, evaluations, attendance records and reporting.

Client & Committee Coordination
Work with association Boards, committees, volunteers and TPM team members. Schedule and attend event and education committee meetings. Assist with meeting agendas and supporting materials. Take meeting notes and track action items and deadlines. Follow up with committee members, speakers, venues and suppliers. Keep clients and the TPM team informed about event progress, upcoming deadlines and outstanding items. Build positive, professional relationships with clients, members, volunteers and industry partners.

Marketing & Communications Coordination
Working alongside TPM's marketing team, you will:
Provide accurate event information for social media, email campaigns and websites.Coordinate promotional timelines for events and educational programs. Ensure registration details, dates, speakers, pricing and program information are accurate. Identify upcoming marketing needs and provide the marketing team with information well in advance of deadlines.Review event communications for accuracy before distribution.

Administration & Registration
Respond to attendee and member questions regarding events and education programs. Monitor registrations and prepare registration updates. Maintain organized client and event files. Track event expenses, invoices and receipts.Maintain accurate information within client databases and event platforms. Assist with certificates of attendance and continuing education documentation where applicable.Support other association and event-related administrative duties as required.

What We're Looking For
1–2 years of experience in event coordination, association management, education programming, hospitality, administration or a related role is preferred. Exceptional organizational and time-management skills. Strong attention to detail. Excellent written and verbal communication skills. Comfortable managing multiple clients, projects and deadlines simultaneously. Strong follow-through and accountability. Ability to anticipate what needs to happen next rather than waiting to be assigned every task.Comfortable communicating with professionals, Board members, volunteers, speakers, suppliers and event attendees. Able to work independently while also being part of a collaborative team. Comfortable working in a fast-paced environment where priorities can change.

Technology Skills
Strong computer skills are important for this position.
Candidates should be comfortable and proficient working with:
Microsoft 365, including Outlook, Word, Excel and PowerPoint. Google Workspace, including Gmail, Google Drive, Docs, Sheets and Calendar. Zoom and other virtual meeting platforms. Experience with Canva, event registration systems, email marketing platforms, association management software or CRM/database systems is considered an asset.

Position Requirements
This is an in-office position at TPM's Burlington office. Approximately 10–20 hours per week, with hours varying depending on client and event schedules. Availability for occasional early mornings, evenings and weekends is required. Must be willing and able to travel to client events, conferences and meetings. A reliable vehicle and valid driver's licence are required. Some overnight and out-of-town travel may be required. Must be comfortable transporting event materials and supplies when required.

Compensation
$23–$25 per hour, based on experience.
What Success Looks Like
Our clients shouldn't have to worry about whether their next event is on track.
You'll know what's coming up, what needs to be done, who's responsible for it and when it's due. You'll communicate early when you need something, follow up when necessary and make sure details don't fall through the cracks.
We're looking for someone who takes ownership, enjoys being busy and gets genuine satisfaction from seeing a well-organized event come together.

We are currently seeking a Bilingual Association Coordinator to support our growing portfolio of association and event management clients.
This is an exciting opportunity for someone who enjoys variety, organization, events, communications, and working directly with executive leaders, volunteers, sponsors, and members.

Position Overview
The Bilingual Association Coordinator will support the day-to-day operations of association clients, including administrative coordination, membership support, event logistics, committee communications, and bilingual communications support.

This role is ideal for someone who is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. The position will begin part-time, with the opportunity to transition to a full-time, permanent role as TPM continues to grow.

Key Responsibilities
Association & Administrative Support
- Coordinate meetings, agendas, minutes, and follow-up action items
- Support Board and committee communications
- Maintain shared project trackers, calendars, and documentation
- Assist with membership inquiries and database updates
- Support sponsorship and partner communications

Event Coordination
- Assist with event logistics for conferences, breakfast forums, webinars, and networking events
- Coordinate registration lists, speaker details, and attendee communications
- Liaise with venues, vendors, sponsors, and volunteers
- Support onsite and virtual event execution

Communications & Marketing Support
- Draft and coordinate email communications in English and French
- Support social media scheduling and website updates
- Assist with newsletters and member communications
- Help maintain brand consistency across client communications

CRM & Member Services
- Maintain accurate member and sponsor records
- Support renewals, reporting, and data management
- Assist with survey coordination and engagement tracking

Qualifications
Required
- Fully bilingual in English and French (written and verbal)
- 2+ years of experience in administration, association management, events, communications, or related fields
- Exceptional organizational and time management skills
- Strong written communication skills
- Ability to manage multiple deadlines and priorities
- Professional and confident communication style
- Proficiency with Microsoft Office and Google Workspace
- Experience with Zoom, Canva, social media platforms, and CRM systems
- Must have a valid driver’s license and access to a reliable vehicle
- Must be willing and able to travel to meetings and events as required

Assets
- Experience working with associations, nonprofits, or member-based organizations
- Event coordination experience
- Sponsorship or marketing experience
- Knowledge of platforms such as WildApricot, Mailchimp, WordPress, or PheedLoop
- Experience taking meeting minutes and supporting Boards/Committees
