About Theresa Place Media Inc.
Theresa Place Media Inc. (TPM) is a growing agency specializing in association management, event management, sponsorship activation, and strategic marketing. We work with organizations across Canada to support events, membership engagement, communications, and operational excellence.
We are currently seeking a Bilingual Association Coordinator to support our growing portfolio of association and event management clients.
This is an exciting opportunity for someone who enjoys variety, organization, events, communications, and working directly with executive leaders, volunteers, sponsors, and members.
Position Overview
The Bilingual Association Coordinator will support the day-to-day operations of association clients, including administrative coordination, membership support, event logistics, committee communications, and bilingual communications support.
This role is ideal for someone who is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. The position will begin part-time, with the opportunity to transition to a full-time, permanent role as TPM continues to grow.
Key Responsibilities
Association & Administrative Support
- Coordinate meetings, agendas, minutes, and follow-up action items
- Support Board and committee communications
- Maintain shared project trackers, calendars, and documentation
- Assist with membership inquiries and database updates
- Support sponsorship and partner communications
Event Coordination
- Assist with event logistics for conferences, breakfast forums, webinars, and networking events
- Coordinate registration lists, speaker details, and attendee communications
- Liaise with venues, vendors, sponsors, and volunteers
- Support onsite and virtual event execution
Communications & Marketing Support
- Draft and coordinate email communications in English and French
- Support social media scheduling and website updates
- Assist with newsletters and member communications
- Help maintain brand consistency across client communications
CRM & Member Services
- Maintain accurate member and sponsor records
- Support renewals, reporting, and data management
- Assist with survey coordination and engagement tracking
Qualifications
Required
- Fully bilingual in English and French (written and verbal)
- 2+ years of experience in administration, association management, events, communications, or related fields
- Exceptional organizational and time management skills
- Strong written communication skills
- Ability to manage multiple deadlines and priorities
- Professional and confident communication style
- Proficiency with Microsoft Office and Google Workspace
- Experience with Zoom, Canva, social media platforms, and CRM systems
- Must have a valid driver’s license and access to a reliable vehicle
- Must be willing and able to travel to meetings and events as required
Assets
- Experience working with associations, nonprofits, or member-based organizations
- Event coordination experience
- Sponsorship or marketing experience
- Knowledge of platforms such as WildApricot, Mailchimp, WordPress, or PheedLoop
- Experience taking meeting minutes and supporting Boards/Committees

Location & Schedule
- Hybrid role based in Burlington, Ontario
- Part-time hours to start (approximately 15–25 hours/week, with flexibility around events)
- Occasional evening and weekend event attendance may be required
- Travel within Canada will be occasionally be required
